We’re hiring a Internal Order Co-Ordinator for our client, a leading company, to join their growing team. This is a Permanent position in Gurgaon location.

GENERAL ACCOUNTABILITY

The top priority of all Customer Support Staff is the delivery of outstanding service to our Customers. The primary function of the Internal Order Co-Ordinator is to administer the full-cycle customer service, sales and order processing and machine delivery for International products;

SPECIFIC ACCOUNTABILITIES:

  • Supports and responds to all dealer/distribution enquiries and requirements in a professional and timely manner;
  • Administers and create Customer Quotes, Transport Quotes, Sales Orders, Sales Order Acknowledgements, Works Orders, etc.;
  • Receives information to prepare an order and has a clear understanding of production scheduling in order to provide accurate lead times and machine slots in confirmed orders;
  • To communicate order changes and updates to all parties (Dealers, CSR Team, Transport, Operations, Management);
  • Arranges Deposits and final invoicing, monitors payments and manages Letters of Credits/Finance company’s requirements to secure payments;
  • Liaises with Transport Manager for all transportation logistics information;
  • Operate ERP System (Epicor);
  • Conducts follow-up calls to ensure customer satisfaction;
  • Ensures final file documentation meets all company audit and compliance requirements prior to hand off to the Transport / Finance Department. Resolves any discrepancies;
  • Presents a professional work ethic & image as determined by the Company at all times, internally and externally;
  • Maintaining excellent communication within company departments especially the Sales Team;
  • Monitoring and evaluation of all orders and sales processes;
  • Manages and creates order status reports;
  • Works closely with the local Sales Manager to provide any additional support required;
  • Facilitate and organize factory visits from colleagues or dealers;
  • Integrate fully into the ROW Internal Sales Team, ensuring processes and systems are identical to UK based team.

EDUCATIONAL BACKGROUND & EXPERIENCE REQUIRED:

With proven Industry experience, candidates must display an overwhelming desire to ensure customer satisfaction at all times and should possess the following qualities;

  • Must be excellent in MS Office (specifically Excel);
  • Outstanding communication (oral/written) skills required;
  • Ability to communicate vertically and horizontally effectively;
  • Knowledge of or experience in the aggregate, construction, or heavy equipment manufacturing industry an asset;
  • Be able to work in a fast-paced environment;
  • Self motivated and a confident decision maker with ability to apply solutions;
  • Ability to manage and co-ordinate changing priorities and have high standards of multi-tasking;
  • Have a positive “can do” attitude;
  • Knowledge of transportation logistics (ex. 3PLs, NAFTA, domestic and international customs procedures) highly desired;
  • Finance/accounting or invoicing experience desired.
